Privacy notice

LW Removals Ltd ("LW Removals", "we", "us") is the data controller for the personal data described in this notice. Our registered address is Bank Cottage, Well Street, Cefn Mawr, Wrexham LL14 3AS.

This notice explains what personal data we collect through this website and in the course of quoting for and carrying out removals, why we collect it, how long we keep it and the rights you have. It applies to lwremovals.co.uk and to the SMS messages we send you.

We only collect what we need to give you a price and carry out your move. Depending on how you use the site, that may include:

• Contact details: your name, phone number and email address.
• Move details: pickup and delivery postcodes (and addresses once you book), the property types and access details you tell us about, your preferred move date, and the list of items you build in the instant quote.
• Booking and payment records: your quote reference, the price agreed, deposit and payment status, and any notes you or our team add about the job.
• Messages: the content of contact-form enquiries, and the SMS messages sent between you and us.
• Your consent choices: whether you have opted in to booking updates by SMS and to marketing messages, and the date you did so.
• Technical data: your IP address, browser type and pages visited, collected through analytics cookies only if you accept them (see section 7).

We do not ask for, and you should not send us, sensitive information such as health details or financial account numbers through the quote or contact forms.

UK data protection law requires us to have a lawful basis for each use of your personal data. Ours are:

• To calculate and send you a quote, answer an enquiry and take a booking — taking steps at your request before entering into a contract, and performing that contract once you book.
• To send you booking confirmations, reminders and updates on the day by SMS — performance of the contract. You can also opt in to receive these updates by ticking the SMS updates box on the quote form.
• To send you occasional marketing messages by SMS — your consent, given by ticking the separate marketing box. You can withdraw it at any time (section 6).
• To keep records of quotes, bookings and payments — our legal obligations for tax and accounting, and our legitimate interest in running the business and handling any dispute.
• To understand how the website is used and improve it — your consent to analytics cookies, given through the cookie banner.
• To protect the site from abuse (for example rate-limiting the forms) — our legitimate interest in keeping the service secure.

We do not sell your data and we do not use it for automated decision-making that has a legal or similarly significant effect on you. The instant quote is calculated from the postcodes and items you enter; it is a price, not a decision about you.

We use a small number of service providers to run the website and the business. Each processes your data only on our instructions:

• Vercel Inc. — hosts the website and its forms. Vercel is a US company; see section 5 on international transfers.
• Neon — hosts our database, in its London (UK) region. Your quote, booking and enquiry records are stored here.
• TextMagic — sends and receives the SMS messages between you and us.
• Google — the route map on the quote page is provided by Google Maps, and website analytics are provided by Google Analytics 4 if you accept analytics cookies.
• Stripe — when you pay a deposit online, your card details are entered directly with Stripe and never reach our servers. We receive confirmation that the payment was made and the last four digits of the card.

We may also share data where the law requires it, for example with HMRC, or to protect our legal rights. We do not share your data with other removals companies or with advertisers.

Our database is hosted in the UK. Some of the providers listed above are based in, or operate from, the United States, so your data may be transferred outside the UK — most notably by Vercel (hosting), Google and Stripe.

Where that happens we rely on the safeguards recognised under UK data protection law: the UK-US Data Bridge where the provider is certified under it, and otherwise the UK International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses.

We use SMS in two ways, and we ask for them separately on the quote form.

• Booking updates: confirmations, reminders and on-the-day messages about a move you have booked. These are part of the service.
• Marketing: occasional messages about our services. We only send these if you have ticked the marketing box, and you can stop them at any time by contacting us or, where the message allows, replying STOP.

We do not send marketing SMS to anyone who has not opted in.

The website uses a small number of cookies and similar technologies:

• Essential: needed for the site to work — for example remembering your quote in progress within the same browser tab, and your cookie choice. These do not need consent.
• Analytics (optional): Google Analytics 4, which tells us in aggregate how people use the site so we can improve it. Analytics is switched off until you accept it in the cookie banner. If you decline, no analytics cookies are set and Google Consent Mode records only cookieless, aggregated signals.

You can change your choice at any time through the cookie banner or by clearing cookies in your browser. Google Maps on the quote page may set its own cookies when the map loads.

• Quotes you do not go ahead with are valid for 30 days. We keep the enquiry so we can honour the price if you come back within that window, and then for a limited period afterwards for follow-up and record-keeping.
• Bookings, invoices and payment records are kept for up to six years after the move, as required for tax and accounting purposes and in case of any dispute.
• SMS consent records are kept for as long as you are opted in, plus a record of when you withdrew consent.
• Analytics data is retained by Google Analytics for the period set in our account (no more than 14 months) and is only ever viewed by us in aggregate.

When data is no longer needed we delete it or anonymise it.

Under UK GDPR you have the right to:

• access the personal data we hold about you and receive a copy;
• have inaccurate data corrected;
• have your data erased where there is no good reason for us to keep it;
• restrict or object to how we use your data, including objecting to any direct marketing at any time;
• receive the data you gave us in a portable format;
• withdraw consent at any time where we rely on it (for example marketing SMS or analytics), without affecting what was done before you withdrew it.

To exercise any of these rights, contact us using the details in section 11. We will respond within one month. We may need to confirm your identity first.

If you are unhappy with how we have handled your data you can complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113. We would appreciate the chance to resolve your concern first.

The website is served over HTTPS, access to our booking system is restricted to LW Removals staff and password protected, and our providers are chosen for their security practices. No online service can be guaranteed completely secure, but we take reasonable steps to protect your data and we would tell you and the ICO if a breach was likely to put you at risk.
